Getting started with Zapier

Creating Zaps with Record360

Zapier is built around Zaps, which are automated workflows that connect apps together. With the Record360 Zapier integration, you can use Record360 as a source of data to send to another app, or use another app to send data to Record360.

Triggers

A trigger is an event that starts a Zap. The Record360 Zapier app has 2 triggers:

  • Inspection Completed
  • Task Completed

This means that you can trigger an action in another app anytime an inspection is performed, or a task is completed, in Record360. See the link below for more information about Zapier triggers.

Actions

An action is an event that happens as the result of a trigger in a Zap. The Record360 Zapier app has 3 actions:

  • Create Unit
  • Create Draft - creates a draft at the logged in user’s location
  • Create Draft at Selected Location - creates a draft in the location selected in the Zapier action
  • Create Draft with Workflow and Location as Parameters- create a draft in the location and workflow selected in the Zapier action
  • Create Task

This means that you can use a trigger from another app to create a unit, task or draft in Record360

Tasks are not visible in Record360 for customers on Basic pricing plans. Upgrade to Standard or Professional to view Tasks.

Custom Value

It’s possible to add custom values to dropdown menus for various fields in your triggers and actions, if the field you are looking isn’t available by default. This helpful article in the Zapier Help Center walks you through how to set that up.

Search and Filter

Zapier allows you to add conditions as a step between triggers and actions, which allows you to better control and customize your automations and workflows. You can find examples of conditions in practice here & here. This article from Zapier goes into additional detail.
